Administrative Assistant/Ecclesiastical Notary Office of the Tribunal
Job Title: Administrative Assistant Location: Office of the Tribunal, Diocese of Biloxi Chancery Office in Biloxi Job Type: Part-time -18 Hours per Week – Non-Benefit Position
General Job Description: Perform transcription of depositions and duties such as answering the phone, filing and data entry. This position will be a notary for the Tribunal and will notarize all documents and decrees of the court. Administration of the Casemaster Tribunal Database is also required. Working knowledge and proficiency in Microsoft Windows, Outlook, Word and Excel is necessary.
Major Duties and Responsibilities:
Transcribe depositions.
Filing, data entry, scheduling appointments.
Administrate the Casemaster Database System.
Obtain and distribute all Tribunal mail.
Case file maintenance/data entry, hard copy file, and cross-referencing cases.
Minor Duties and Responsibilities:
Answer phone calls.
Arrange/organize schedule for appointments and case updates.
Handle all matters pertaining to the daily operation and management of cases.
Be proficient in dealing with the public, in person and by phone.
Assist priests, deacons, and parish employees and other ministers, clients and general lay public with any questions or concerns not requiring canonical expertise.
Act as a receptionist for the Tribunal Office, with all that this implies.
Handle all travel, hotel and other arrangements for Tribunal personnel attending conferences.
Responsible for completing any other unique assignments from the Bishop, Judicial Vicar or Director.
Qualifications for the Job:
Education – High School Diploma minimum.
Experience – At least 3 years’ experience with transcription and office work.
Other – Should be committed to the mission of the Church and be willing to answer the Great Commission of Jesus to be disciple-makers. Must be a practicing Catholic in good standing with the teachings of the Church. Must be committed to being on mission with the Diocesan leadership.
Key Competencies – Word, Excel, Outlook. Excellent communication skills.
